The KPI dashboard provides a four-layer progressive disclosure view of your facility’s operational performance — from high-level health to detailed AI-powered insights.
The KPI dashboard uses a progressive disclosure pattern: Layer 1 gives you a 5-second health check, Layer 2 shows the key numbers, Layer 3 digs into operational details, and Layer 4 provides AI-driven recommendations with financial impact estimates.

Layer 1: Health overview

Health check grid

A status grid with four indicators showing at-a-glance facility health:
IndicatorWhat it tracks
FCOTSFirst Case On-Time Start percentage
UtilizationOR room utilization rate
VolumeCase volume vs. capacity
CancellationSame-day cancellation rate
Each indicator is color-coded: green (good), amber (warning), red (needs attention).

Action items

A prioritized list of recommended actions based on KPI status. Items are auto-generated from threshold analysis — for example, “First case on-time at 68%” or “3 surgeons need earlier callbacks.”

Layer 2: KPI strip

Four primary KPI cards, each displaying:
  • Status dot — color-coded health indicator
  • Primary metric — large animated number (e.g., “72%”)
  • Delta badge — change vs. prior period with directional arrow
  • Sparkline — 7–14 day trend line
  • Target gauge — mini progress bar showing value vs. configured target
  • Subtitle — context text (e.g., “32 of 45 cases on-time”)

The four KPIs

KPIDescriptionTarget direction
First Case On-TimePercentage of first cases starting within the grace periodHigher is better
OR UtilizationActual OR hours / available hoursHigher is better
Case VolumeTotal completed cases with weekly sparklineHigher is better
Same-Day CancellationPercentage of cases cancelled same-dayLower is better
Click OR Utilization to open a drill-through showing room-by-room utilization breakdown.

Layer 3: Operational metrics

A two-column layout with detailed operational analysis.

Left column: Where are we losing time?

Five time-loss metrics as mini cards:
MetricDescription
Same Room TurnoverMedian time from wheels-out to wheels-in (same room)
Same Room SurgicalMedian surgical turnover — closing to incision (same room)
Flip Room TurnoverMedian turnover for flip-room cases
Flip Room SurgicalMedian surgical turnover for flip-room cases
Non-Operative TimeMedian non-surgical time (wheels-in to incision + closing to wheels-out)
Each shows a status dot, value, unit, sparkline, and delta badge.

Right column: What should we fix?

Surgeon callback optimization analysis: Summary strip — overall median idle, flip-room idle median, same-room idle median. Surgeon table — per-surgeon idle time analysis:
ColumnDescription
SurgeonSurgeon name
Flip IdleMedian flip-room idle time (green ≤5 min, amber ≤10 min, red >10 min)
Same Room IdleMedian same-room idle time (green ≤30 min, amber ≤50 min, red >50 min)
CasesCase count for the period
StatusOn Track, Call Sooner, Call Later, or Turnover Only

Layer 4: AI insights

Prioritized insight cards ranked by financial impact. Each card shows:
  • Severity badge — critical, warning, positive, or info
  • Title — concise description of the finding
  • Body — detailed explanation (2–3 sentences)
  • Action — recommended next step
  • Financial impact — estimated annual value (e.g., “$12K/yr potential”)
  • Export button — inline XLSX export for the insight data
Click an insight card to open a drill-through slide-over with detailed breakdown data.

Drill-through panels

PanelWhat it shows
UtilizationRoom-by-room breakdown with actual/available hours
TurnoverCase-level turnover details filterable by room and surgeon
VolumeVolume trends over time
CancellationCancellations by reason, surgeon, and procedure
FCOTSLate start analysis by surgeon and reason
All drill-through panels support XLSX export.
The AI insights are ranked by financial impact. Start with the top insight — it represents the highest-value opportunity for your facility. Each insight includes a specific recommended action and estimated annual value.

Configurable targets

All thresholds are stored in facility analytics settings and can be adjusted in Settings > Operations > Analytics:
SettingDefault
FCOTS target80%
Utilization target75%
Cancellation target5%
Same-room turnover targetFacility-specific
Flip-room turnover targetFacility-specific
Target defaults are based on industry benchmarks for ambulatory surgery centers. Adjust them based on your facility’s specialty mix and volume.

FAQ

The facility dashboard shows today’s real-time KPIs — they update live during the day. The KPI dashboard here shows period-based analytics with historical trends, AI insights, and configurable targets. Use the dashboard for daily monitoring and the KPI dashboard for strategic review.
The surgeon callback optimization analyzes the gap between when a surgeon’s room is ready and when they arrive. “Call Sooner” means the room is consistently ready before the surgeon — calling them earlier would reduce idle time. “Call Later” means the surgeon arrives before the room is ready.
The four primary KPIs (FCOTS, Utilization, Volume, Cancellation) are fixed. However, you can configure targets and thresholds for each one, and the flag system can be configured to track additional custom metrics.
