The users and permissions settings let you manage staff accounts, assign roles, and control access to different areas of the platform.

Toggle between Active Users (default) and Deactivated Users views.

Account lifecycle

Add staff member

Create a user record with name and role. Email is optional.

Add email

Add an email to enable account creation.

Send invite

Creates an auth account and sends a welcome email. Status becomes Pending.

User accepts

User clicks the invite link and sets their password. Status becomes Active.

Roles

Permission levels

Invite system

  • Send Invite (blue) — shown for users with email but no account
  • Resend Invite (amber) — shown for Pending users
  • Welcome email toggle — choose whether to send the email immediately on creation

Deactivation

Deactivating a user performs a soft delete — login access is revoked immediately, but historical data (cases, milestones, flags) is preserved. A Reactivate button is available in the deactivated view.
You cannot deactivate your own account.

Global admin features

Global administrators can view users across all facilities, move users between facilities, and assign the Global Admin permission level.
